Data Deletion Instructions

1. Introduction

iTechSarathi Private Limited respects the right of individuals and authorized business representatives to request access to, correction of or deletion of eligible personal data.

This page explains how to request:

  • deletion of an iTechSarathi user account;
  • deletion of personal data processed directly by iTechSarathi;
  • deletion of eligible data processed through a customer’s iTechSarathi account;
  • disconnection of a Meta, WhatsApp or Google integration;
  • deletion of eligible WhatsApp messages, media or metadata stored by iTechSarathi;
  • deletion of eligible AI prompts, outputs, files, call recordings or transcripts; or
  • correction or updating of personal data.

3. How to Submit a Request

3.1 Email request

Send an email to:

Include:

  • your full name;
  • email address associated with the account;
  • mobile number associated with the account or communication;
  • name of the relevant business or organization;
  • iTechSarathi account or tenant name, if known;
  • relevant WhatsApp number, if applicable;
  • a clear description of the data or account you want deleted;
  • the integration you want disconnected, if applicable; and
  • information reasonably required to verify your identity or authority.

Do not send passwords, access tokens, one-time passwords, private keys or complete payment-card details.

3.2 In-product request

Where available, an authorized administrator may use an account or privacy setting within the iTechSarathi application to request account deletion, user removal, data deletion or integration disconnection.

The availability of an in-product option may depend on the subscription, account role and module configuration.

4. Requests Concerning a Business Using iTechSarathi

A business customer may use iTechSarathi to process information about its customers, leads, employees, vendors, patients, service users, dealers, distributors, WhatsApp contacts or other business relationships.

In these situations, the business customer generally determines why and how the information is processed. You should normally submit the request directly to the business with which you interacted.

When iTechSarathi receives such a request, we may:

  • forward it to the responsible business;
  • ask the business to confirm the appropriate action;
  • assist the business in locating, exporting, correcting or deleting the information; or
  • respond directly where authorized or legally required.

We will not delete a business customer’s records solely on an unverified request where doing so would be unauthorized, unlawful or inconsistent with the responsible business’s valid instructions.

5. Meta and WhatsApp Data

An authorized business administrator may request:

  • disconnection of the Meta business integration;
  • removal of stored Meta Business Portfolio identifiers;
  • removal of stored WhatsApp Business Account identifiers;
  • removal of stored WhatsApp Phone Number identifiers;
  • revocation or deletion of stored access-token references;
  • deletion of eligible webhook records;
  • deletion of eligible WhatsApp messages or media stored within iTechSarathi;
  • deletion of eligible template and account metadata; and
  • termination of related iTechSarathi automations.

The administrator may also remove iTechSarathi’s authorized access through the applicable Meta Business Settings, where available.

Disconnecting or deleting information from iTechSarathi does not automatically delete information independently retained by Meta or WhatsApp. Requests concerning information controlled independently by those providers must be submitted through their available settings or request mechanisms.

6. Google Integration Data

An authorized administrator may request:

  • disconnection of a Google OAuth integration;
  • revocation or deletion of stored Google token references;
  • removal of eligible synchronized calendar, appointment or integration metadata stored by iTechSarathi; and
  • termination of related automations.

The administrator may also revoke iTechSarathi’s access from the relevant Google account security or third-party access settings.

Deleting information from iTechSarathi does not automatically delete information independently retained within the customer’s Google account or Google services.

7. Information That May Be Deleted

Subject to verification, customer instructions, technical capability and legal requirements, eligible information may include:

  • user profile and contact information;
  • website enquiry information;
  • support communications;
  • CRM contact records;
  • WhatsApp message copies and media stored in iTechSarathi;
  • voice recordings and transcripts where enabled;
  • uploaded files;
  • AI prompts and generated outputs;
  • user preferences and saved automation data;
  • stored integration-token references;
  • eligible session and technical information; and
  • other personal data associated with the verified request.

Depending on the request, we may delete the information, anonymize it, remove identifying fields, disconnect it from the account or make it inaccessible to ordinary users.

8. Information That May Be Retained

We may retain limited information where reasonably necessary for:

  • compliance with applicable law;
  • taxation, accounting or invoicing requirements;
  • completion of an existing transaction;
  • establishment, exercise or defence of legal claims;
  • fraud, spam and security prevention;
  • investigation of misuse or a security incident;
  • enforcement of contracts;
  • preservation of required audit records;
  • protection of another person’s rights;
  • maintenance of opt-out or suppression records;
  • demonstration that a request was received and completed; or
  • another lawful purpose.

Where complete deletion is not permitted or reasonably possible, access to retained information may be restricted and the information used only for the relevant purpose.

9. Account Deletion Consequences

Deleting an account or tenant may result in:

  • permanent loss of access;
  • removal of user settings and permissions;
  • disconnection of integrations;
  • termination of automations;
  • cancellation of scheduled communications;
  • loss of access to reports, messages, documents and records; and
  • inability to recover deleted information.

An authorized administrator should export any information that the organization is legally or operationally required to retain before requesting deletion.

Deleting an individual user account may not delete business records created by that user where those records belong to the organization.

10. Verification

To protect personal and business information, we may verify:

  • your identity;
  • your email address or mobile number;
  • your relationship with the relevant organization;
  • your authority to act for a business;
  • your administrator role;
  • ownership or control of the relevant WhatsApp number or Google account; and
  • other information reasonably necessary to prevent unauthorized deletion.

We may pause or refuse a request where identity, authority or the scope of the request cannot be reasonably verified.

11. Timeline

We aim to:

  • acknowledge a valid request within seven working days; and
  • complete eligible requests within 30 calendar days.

A request may take longer where:

  • additional identity or authority verification is required;
  • the request is complex or involves a large volume of information;
  • multiple customer accounts or services are involved;
  • the responsible business customer must provide instructions;
  • information must be retrieved from archived systems; or
  • a longer period is permitted or required by law.

Where additional time is required, we will communicate the reason and expected completion period.

12. Backups

Information deleted from active systems may temporarily remain in protected backups until the applicable backup-retention cycle expires.

Backup information:

  • is not ordinarily available to platform users;
  • is not used for normal business operations;
  • may be restored only for disaster recovery, security or legal purposes; and
  • will remain subject to the deletion request if subsequently restored to an active system, unless retention is legally required.

13. Third-Party and Customer-Authorized Services

Deleting information from iTechSarathi does not automatically delete information independently controlled by Meta, WhatsApp or Google.

An individual or business may need to use the account, privacy or deletion controls provided by the relevant third-party provider.

Information stored within iTechSarathi’s AWS environment will be deleted, anonymized or restricted by iTechSarathi in accordance with the applicable request, customer instructions, retention obligations and backup cycle.

14. Withdrawing a Request

You may withdraw a deletion request before processing is completed by emailing admin@itechsarathi.in.

Once information has been permanently deleted or irreversibly anonymized, it may not be recoverable.
